Power BI managed services for the UAE
We keep a Power BI estate accurate, refreshing and evolving so your team does not have to. Defined scope, coverage 7am–7pm GST seven days, a fixed monthly fee, and a monthly report of what happened.
What "managed" means here
A Power BI estate does not stay finished. The gateway machine is rebooted and the refresh stops. The ERP is upgraded and a column is renamed. A new free-zone company is formed and needs to be in the group P&L by next month. The VAT scheme for one entity changes. Someone leaves and their row-level security role is still active. None of these is a project; all of them need doing, and in most businesses they land on one person who has a different job.
A managed service takes that list off your team. We monitor the refreshes, keep the gateway healthy, fix the estate when a source changes, make an agreed allowance of changes each month, review governance each quarter, and tell you in writing each month what we did and what we are worried about. The scope is defined below, the coverage hours are stated plainly, and the fee is fixed monthly.
This page describes the service; it does not describe a call centre. Coverage is 7am to 7pm Gulf Standard Time, seven days a week. It is not 24/7, and we would rather say that here than in a contract schedule.
What is in scope
Three tiers, so a business with one model and twenty users is not paying for the same service as a group with six entities and a warehouse. The tier names below are working names. Everything in the "not in scope" column is quoted separately as a fixed price when you want it; it is listed so there is no ambiguity about what the monthly fee buys.
| Scope item | Tier 1 — Monitor | Tier 2 — Maintain | Tier 3 — Evolve | Not in scope (quoted separately) |
|---|---|---|---|---|
| Refresh monitoring and failure handling | Included: every scheduled refresh watched, failures diagnosed and rerun | Included | Included | — |
| Gateway upkeep | Included: gateway version, service account, driver updates (Tally ODBC, SQL, file shares) | Included | Included | Building a new gateway server |
| Source-change fixes (ERP upgrade, renamed fields, new entity added to an existing source) | Not included | Included, up to the monthly allowance | Included | A new source system beyond the tier’s count |
| Measure changes and corrections | Not included | Included, up to the monthly allowance | Included | Redefining the KPI framework |
| New pages and visuals | Not included | Small allowance per month | Larger allowance per month | A new report set or department |

Coverage and response
Coverage hours are 7am to 7pm GST, seven days a week, matching the hours on the rest of this site. Requests raised outside those hours are picked up at 7am. Coverage continues through Ramadan; during that month we schedule change work in shorter windows and avoid the hours your team is not at their desks. On Eid al-Fitr, Eid al-Adha and National Day, refresh monitoring continues and failures are handled; change work resumes on the next working day. This is stated so that nobody has to guess.
Three terms are used for every request, and each has a committed time in your agreement.
- Acknowledge: we have seen the request, it has a reference, and a named person owns it.
- Diagnose: we have identified the cause and told you what the fix is and, if it is outside the allowance, what it would cost.
- Fix: the change is made, tested and, where it touches a report, deployed from test to production with a note in the monthly report.
- How to raise a request: by email to the service address, by WhatsApp to the service number, or in a shared Teams channel if your tenant allows it. Refresh failures do not need raising — the alert reaches us at the same time it reaches your owner.
Taking over an estate you built yourselves (or someone else built)
A managed service usually starts with an estate we did not build. That is fine, and it changes the first month rather than the service. Onboarding follows five steps, all inside the fixed onboarding price.
- Inventory: every workspace, model, report, gateway, data source, refresh schedule and security role, listed with its owner and its last use.
- Health check: refresh history, model sizes, slow pages and the licence position, so we know what is fragile before it breaks on our watch.
- Documentation gap list: which models have no measure dictionary, which reports have no owner, which security roles nobody can explain.
- Quick fixes: the small number of changes that remove the most risk — a gateway on an unsupported version, a refresh on a personal account, a report the board uses that is not in a governed workspace.
- Run: the service starts, with the gap list carried as a risk in the monthly report until it is closed.
- If the health check finds that a model is slow or unreliable enough to need real work, that is not hidden inside the monthly fee. It is scoped as a Power BI performance optimisation health check and fixes, quoted separately, and the managed service takes over once the estate is stable.
Monthly reporting to you
Once a month you receive a short written report. It is the evidence that the service is doing what the fee pays for, and it is deliberately dull.
- Refresh success rate: scheduled refreshes attempted, succeeded and failed, with each failure’s cause and time to fix.
- Requests: raised, closed and open, with the acknowledge, diagnose and fix times against the committed times.
- Changes made: each measure, page, source or security change, with the workspace it was deployed to and the person who approved it.
- Allowance used: how much of the month’s change allowance was consumed and whether anything was carried or quoted separately.
- Risks: what we are concerned about — an ERP upgrade scheduled for next quarter, a gateway machine that is due for retirement, a report with no owner, a licence renewal date.
- Quarterly, the governance review is appended: unused reports, unendorsed models in use, stale security roles and the licence and capacity position.
Security and access
The estate stays in your Microsoft 365 tenant, under your ownership, throughout. We work through named accounts in your tenant with the least privilege the task needs: workspace admin where deployment requires it, gateway admin for gateway upkeep, and nothing on the source systems beyond the read access the connections already use. Service accounts used for refresh belong to you, and their credentials are held in your tenant, not ours.
Where data residency matters, nothing in the managed service moves data; it is monitored and changed where it already sits. The residency position for Power BI and Fabric in the UAE is set out on the Power BI consulting UAE page.
Offboarding is written into the agreement: at the end of the term our accounts are removed, the runbook and the monthly reports are already in your document store, and nothing needs to be handed back because nothing left your tenant. A managed service is easier to leave when it was set up to be left.

Pricing
The method is published alongside the numbers, because what drives a figure matters as much as the figure. The diagnostic is a fixed price; a build is quoted against a written scope.
The monthly fee is sized from four things: the number of semantic models under management, the number of source systems feeding them, the number of users and security roles, and the change allowance in the tier. It is fixed for the term, invoiced monthly, and it does not change because a month was busy. A minimum term and a notice period apply, both stated in the agreement and both short enough that you are not locked in to a service that is not working.
Onboarding is quoted as its own fixed price once the inventory is known, and it follows the same method as every other quote on this site.
A short discovery call, no charge
Thirty minutes on GST hours, and a look at your current reports and the systems behind them. We tell you the smallest practical next step, even if it is smaller than you expected.
A written scope
Sources, the model, pages and visuals, users and their security, training and handover, written down. If it is not in the scope, it is not in the quote.
A fixed quote against that scope
One number in writing. The quote is the price; there is no hourly rate underneath it to drift.
Inside scope is our cost; outside scope is quoted first
If we find something worse than expected inside the scope, that is our cost. If you want something outside it, we quote it separately before doing it, and you decide.
Payment stages
Agreed in the scope document, in writing, before work starts.
What it costs
The reporting diagnostic is a fixed AED 4,950. That is the whole amount. Nothing is added at checkout. Builds are quoted rather than sold from a page: they start at AED 15,500, and most land in the AED 15,500 to AED 62,000 range once the sources, the state of the data, the pages and the training are known. The figure in your written quote is the price.
What the scope itemises for this service
If the estate does not exist yet, the Power BI consulting services Dubai page describes how it is built and handed over, and the Power BI dashboard development Dubai page the single-department version. If the immediate problem is speed, why Power BI reports are slow and what to check first is the article to read before the call. When you are ready, Get started — four quick questions books it.
Ready to find out what this would take for your business?
Four quick questions tell us the systems you run, the reports you assemble by hand and who reads them. From there, a 30-minute call, no charge, and a written scope if it makes sense to go further.
